What happens if I cannot submit my NAN at least 7 days in advance?
If there is a reason you might not be able to submit a NAN in the ‘at least 7 days in advance’
timeframe, please call Leslie directly. We do not want to block a camp because you were late
submitting a NAN, if Leslie knows it will be arriving a day late, he can prioritise checking it etc. and
make a note on it when approved that it was given “permission” for a late submission.
My NAN does not have any comments added for either an approval or rejection?
Leslie will aim to process NANs as quickly as possible – usually within 2 workings day. If Leslie has
not responded (approval or rejection) within a couple of days, please email him
leslie.button@suttonscouts.org.uk. We have had several instances where a NAN has disappeared
from the system.
I cannot find all the leaders attending to add them to the application
If you cannot see the names of the adults that you want to add in the dropdown list you will need to
ask them to check and edit their privacy and visibility settings. Once complete you will be able to
find them and add them to the NAN.
How do I upload revised documents when resubmitting a NAN?
We have found that if you upload the document with the same name as the previous one it
sometimes will be the original document submitted again, not the revised one. We recommend that
you change the name of the document slightly e.g. add v2 to the end of the filename.
How do I know that the NAN has been approved?
Please check the Approver comments box – a comment such as ‘good to go’ will always be added to
confirm that approval has been given. Please check comments box carefully for any further
recommendations.
How do I know that a NAN was rejected?
Notes will be added to the NAN section Approver comments box to explain what needs to happen
to resubmit the NAN. Please do not email Leslie to find out why.
How do I get help with IT Issues
Where are the Young Leader Training Module dates published?
Parents of Young Leaders can log in to OSM and see a list of future Module dates.
The dates are also published on the District Website here (Click Members / District Calendar).
Who supplies the District Scarf to a Young Leader?
If a Young Leader is also a member of an Explorer Unit, then the Explorer Unit will supply the scarf.
If the Young Leader is not a member of an Explorer Unit, then the Young Leader team will supply the scarf.

What is the recommended way to manage Young Leader details within a Section?
Young Leaders are most commonly in one of two situations:
They only help in a Section
or
They are also an Explorer in an Explorer Unit
To keep consistency of data between section and ensure updates filter through to all. if a YL already exist in Explorers, then ask the Unit to copy their details to the Section or vice versa.
The must also be registered with the YL Unit, by copying their information by following this article.
No matter what the situation of the YL above. The easiest way to manage a YL in a Section is place them in to a “Young Leaders”, “Lodge / Six / Patrol”. However avoid using the Lodge / Six / Patrol already configured in OSM, see below.
Due to a quirk in OSM, if you place a Young Leader in the “Young Leaders”, “Lodge / Six /Patrol” that is already configured by default in OSM, you cannot see their training or badge progress.
To avoid this limitation, create your own section “Young Leader”, “Lodge / Six / Patrol” and add the Young Leaders to that.
Missions: How do I record Young Leader Mission progress and award Mission Badges?
Young Leaders Missions can be found in the Challenge badges sections of OSM. Please refer to this FAQ: How can I monitor a Young Leader / DofE volunteer’s training progress?
The central diamond shaped Young Leader Missions badge is given out at the end of Module A:
The Young Leaders then complete Missions 1 – 4 in the Section they are working with.
Once a Section leader has agreed that a mission has been completed, The leader should update OSM to reflect this and that mission badge should be awarded by the Section Leader.
Section Leaders award the Mission Badges.
Once all missions and training modules have been completed, please contact a member of the District Young Leader team by raising a ticket and we can arrange for the Young Leader belt buckle to be awarded.

I cannot see a Young Leaders training progress?

How do I obtain a login to to the Census portal?
In early December, HQ emailed passwords to all Lead Volunteers, Chairs and 14–24 Team Leaders. If you’ve not got your passwords, contact HQ support centre. For guidance on submitting your return, please visit the HQ Census support page.
Can a young person be nominated for an award more than once?
No, a young person can only receive an award once within Sutton Scouts. We will double check any nominations against our list of previous award winners before approving them.
How will we know that our nomination has been successful?
After the deadline has passed the certificate etc for young people will be passed to their leader to hand out. They will also be invited to an event in November to present their medal. Leaders will not find out until they are invited to attend the Jack Petchey Award ceremony in November.
Who decides what the grant is spent on?
The grant must be spent on activities for the benefit of the group or unit that the award winner attends. The award winner should help to decide what the grant will be spent on. You cannot use a grant for the same activity in less than two years.
What happens if there are more than 8 nominations for young people or 3 for leaders?
The DLV will review all the submissions that meet the criteria and select which ones will be taken forward. We will look to make sure that every Scout Group or Explorer Unit in Sutton could have awards given. Nominates can also roll over to the next timeframe.
Who can nominate someone for an award?
Any leader can nominate a young person but their peers should be involved in the selection. Leaders should be nominated by young people with the support of parents or other volunteers.
How do we arrange Music and Motion Picture Licences?
We have a District licence to cover Scouts Groups in Sutton for the showing of TV programmes or movies (in any format). You can find out more here: Motion picture licensing | Scouts.
Please be aware that there are separate rules about playing of music to the public which the District does not cover. Each Group has their own responsibility to obtain a licence if required Music licensing requirements | Scouts.

Who has to pay the Membership Fee?
The fee is payable in respect of all youth members, with groups liable for their Young leaders who do not have a fee paid as part of an ESU.
How do we count Young Leaders?
The District Young Leader section return (this is the 14-17 age bracket) is completed at District level, so once you complete your group return, please can you send details of all your young leaders, including confirmation if they are also members of an Explorer Scout Unit, to the 14-18 Team Lead, using this form.
If they are not, please provide their age and ethnic information so that the return can be accurately completed.

When does the Census need to be completed?
The census must be completed by 31 January.
How much is the Membership Fee this Year?
The cost is £61 (Excluding music license, see other FAQ).
This is made up of:

What skiing experience is required?
No previous experience is required, we will be visiting some ski slopes in the UK to get them started (There is an additional cost for this).
When in resort they will be taught by professional instructors and can practice with after the lesson with the Scout Leaders.
My child has homework and it is GCSE year?
In the past we have run “Homework” club, often in the evening after a break from the days skiing and before evening meal. We have found it works well with everyone helping each other. Sometimes coming from different schools helps to give a different way of explaining something.
But we do ask that parents tell us their child has homework. Some young people are not the best at coming forward to do thier homework 🙂
Will there be any ski lessons before departure?
Yes, these are currently being planned, but in previous years we have:
- Had an initial meet up and then a visit to a dry slope.
- Had a visit to an indoor “wet” artificial snow dome.
- Held and overnight camp followed by a visit to a “wet” artificial snow dome.
There are additional costs for the above.
How much Pocket Money is required?
This is up to parent discretion, but we recommend 10 Euro’s a day.
This is enough to buy soft drinks in the evening, with some spare money for presents etc.
We also operate a “Camp Bank” to keep the money safe, issuing out bit by bit over the week.
What meals are provided?
Meals are on a Full Board basis, with a buffet breakfast, packed lunch and evening meal
